Your responsibilities
As Management Assistant (or Personal Assistant/Executive Secretary) to the Plant Manager and management team you are responsible for supporting the priorities and directly contributing to the team’s effectiveness to lead Maasvlakte Power Plants (MPP) in challenging times. Your personal commitment and organizational talent will increase the efficiency of business administration processes with the aim to create space for content creation, communication and performance management.
Summary
• Supporting the management team with content-related tasks such as the creation of analyses, presentations, intranet posts, manuscripts, and speeches as well as the coordination and creation of ongoing performance reports
• Planning, organization and documentation of internal and external business appointments as well as telephone and video conferences, including preparation and follow-up
• Calendar management for the MPP Management Team where required
• Communication management in Dutch and English, especially processing incoming and outgoing e-mails, letters, telephone calls as well as internal communication for the MPP site
• Administrative activities and office management, including the execution of ordering and billing processes (office equipment, work clothes, IT equipment, service providers, etc.)
• Introduction of new employees and support for departing employees
• Coordination of site visits and supporting external communication for the site
• Leading or co-ordinating activities that cross teams on the Maasvlakte site on behalf of the Management team.
• Close cooperation with other personal and team assistants, including mutual representation
• Supporting the management team with social matters for employees, such as arranging gifts, events or attentions for employees on special occasions
• Helping integration between management and all teams by building bridges and being visible and accessible
Your profile
• Independent working attitude with high solution orientation
• Excellent project management and organizational skills, combined with a high degree of customer orientation, and situational pragmatism
• Completed vocational training or Bachelor degree (or comparable experience as a personal assistant, office manager or management assistant), further specialist training is an advantage
• Several years (five or more years) proven experience in office management and assistant function at senior management level or comparable industry experience
• Solid financial and commercial skills
• Excellent communication and interpersonal skills
• Planning and organizational skills for the effective prioritization and management of resources, including operational management of external service providers
• Fluent in English and Dutch
